How do I connect Klipfolio and QuickBooks Online?

  • QuickBooks Online pre-built data sources: Data sources provide the foundation for Klip building, so we suggest you create a data source as a first step (before building Klips and adding them to your dashboard). Our pre-built data sources focus on the most sought-after QuickBooks Online data and are found on the Service Connectors page, available from this link or from your list of data sources. When you select a service connector from this page, the data source for that service is automatically added.

  • QuickBooks Online pre-built Klips: Pre-built Klips enable you to quickly set up a dashboard using predefined visualizations that display common key metrics. Pre-built Klips are found in the Klip Gallery or, for White Label customers, in the Integration Gallery.

  • Custom data sources: When you create a custom data source, you can either use the pre-built data source as a starting point from which to write your own query or you can write your own queries from the ground up and build a data source from scratch. You create custom-built data sources from the Service Connectors page, accessible from this link or from your list of data sources.

  • Custom Klips: Using our Klip Editor, you can construct and manipulate your data, including integrating multiple data sources, to produce unique, custom-built data visualizations. You create custom Klips from either your list of Klips or your Dashboard.

 

Regardless of whether you choose pre-built, custom-built, or a combination of both, before you can start building Klips and dashboards you need to connect to QuickBooks Online data in Klipfolio.

How do I connect to QuickBooks Online data in Klipfolio?

When you connect your QuickBooks data to Klipfolio, you will be prompted to connect your QuickBooks Online account by entering your username and password.

Doing so will create a token that enables Klipfolio to securely access your QuickBooks Online account. Your token looks like George@QuickBooks. You can use and reuse the same token every time you connect to QuickBooks Online.

Note: You manage your connections (tokens) to QuickBooks Online in Klipfolio under Connected Accounts in the Account section.

How do I find my QuickBooks Online Company ID?

When you add a pre-built or create a custom-built QuickBooks Online data source you may be prompted to enter your QuickBooks Online Company ID.

To find your QuickBooks Online Company ID:

  1. Log in to QuickBooks Online.
  2. Select one of your QuickBooks Companies.
  3. From your chosen company's QuickBooks homepage, click the gear icon at the top right, then select Account and Settings (or Company Settings if applicable).
  4. Select Billing and Subscription. The Company ID will be in green at the top of the section.

Note: There are two types of Company IDs:

  • If the last three characters of your Company ID contain letters, copy everything except the last three characters. Paste it into Klipfolio and remove spaces.
  • If your Company ID entirely consists of only numbers, copy the entire ID. Paste it into Klipfolio and remove spaces.

How do I add a QuickBooks Online pre-built data source?

To add a QuickBooks Online pre-built data source:

  1. Navigate to the Service Connectors page in Klipfolio and choose QuickBooks from the list.
  2. Select a pre-built data source from the left section of the Pick a Data Request page.
  3. If this is your first time connecting to QuickBooks Online:
    • Click Connect an Account. Enter your QuickBooks Online login credentials and click Next. If prompted, click Allow Access to enable Klipfolio to securely access your QuickBooks Online data. Click Next Step.
  4. If you have connected with QuickBooks Online before:
    • Select an existing connection (token) from the drop-down list and click Next Step or, if you want to connect to a different account, select +Connect New Account from the drop-down list (or click Connect to QuickBooks) and follow the procedure above.
  5. If the field next to Company ID on the Configure Data Source page is empty, enter your company ID.  
  6. Click Get Data or, if you want to modify the pre-built data request, click Switch to Custom settings.
    Notes:
    • If an error message displays after clicking Get Data, there may be an issue that requires you to reauthenticate. For example, the company you selected may be invalid or inactive.
    • If you switch back to the Basic settings page after making changes in the Custom settings page, your changes will not be saved.

If you clicked Switch to Custom settings:

  1. On the Configure Data Source page, modify the Query URL to get the data you want. You can use the existing information in the Query URL text box as a base. It was auto-filled based on the pre-built data source you selected on the Pick a Data Request page.
  2. Click Submit.

How do I add QuickBooks Online pre-built Klips?

In the Klip Gallery or, for White Label customers, in the Integration Gallery you can browse individual QuickBooks Online pre-built Klips and add them to your dashboard. You replace the sample data that is included in pre-built Klips with your own QuickBooks Online data by clicking the menu in the Klip and selecting Connect your data.

When adding a QuickBooks Online pre-built Klip, you may need to enter the same fiscal year start month (in QuickBooks, referred to as "financial year") that you set up in your QuickBooks Online account.

To find your QuickBooks Online fiscal year:

  1. Log in to QuickBooks Online and navigate to your company homepage.
  2. Click on your Company Name at the top right corner of your screen.
  3. Under Settings, select Company Settings.
  4. In the Company Settings sidebar, select Advanced.
  5. At First month of financial year, copy the first three letters of your start month.

How do I create a QuickBooks Online custom-built data source?

To create a QuickBooks Online custom-built data source:

  1. Navigate to the Service Connectors page in Klipfolio and choose QuickBooks from the list.
  2. On the Pick a Data Request page, click Create a custom QuickBooks data source.
  3. If this is your first time connecting to QuickBooks Online:
    • Click Connect an Account. Enter your QuickBooks Online login credentials and click Next. If prompted, click Allow Access to enable Klipfolio to securely access your QuickBooks Online data. Click Next Step.
  4. If you have connected with QuickBooks Online before:
    • Select an existing connection (token) from the drop-down list and click Next Step or, if you would like to connect to an alternative account, click Connect to QuickBooks and follow the procedure above.
  5. On the Configure Data Source page, adjust the Query URL information to replace any generic placeholder query information with your own. For example, replace <companyID> with your own Company ID.

How do I create a QuickBooks Online data source from scratch?

You can choose to build a data source from scratch. Klipfolio connects to hundreds of services in the cloud that have a REST API. If you take the time to learn your service’s API to create queries for the data you want, your possibilities are endless. Here’s a quick overview video on APIs and Klipfolio:

If you need assistance using APIs, enlist a data analyst or developer.

Use the QuickBooks API Explorer to build and test your queries before you use them to bring data into Klipfolio.

When you are happy with your query, click Submit, and then save and name your new data source. You're now ready to use it to build a QuickBooks Online Klip.

API Limits and Notes

By default, QuickBooks Online returns a maximum of 100 records per query. To retrieve more records, set the maxResults parameter to 1000 or, to retrieve more than 1000 records, pagination is required.

How do I create a QuickBooks Online custom Klip?

You create custom Klips from either your list of Klips or your Dashboard. You choose a data visualization format, for example, a pie chart, gauge, or table, and decide whether you want to use an existing data source or create a new one.

Note: Depending on the data you want to display, you may need your QuickBooks Online Company ID and fiscal year start month to set up your Klip. Refer to How do I add QuickBooks Online pre-built Klips? for detailed instructions.
