How do I share my Klip dashboards using published links?

You can share your Klip dashboards with others by publishing links that provide view-only access. Publishing a link to your Klip dashboard makes it accessible to people outside your account.

Note:

  • Data source warnings and error indicators will not display when you view dashboards via published links. As a result, link viewers will not be notified if the dashboard is not displaying the most current data.
  • If your Klips dashboard includes metrics, please note that metric goals are not currently supported for use when publishing links.

What are my options for published links?

When publishing a link to your dashboard, you choose from the following options:

  • Make it public and available via search
  • Make it available to anyone with the link
  • Make it available to anyone with the link and a password

Please review the information in the following table before deciding which option is best for you. Note that all 3 options provide a link to your dashboard but how the link can be accessed by others differs for each option.

*The footer for ALL publicly available links will show “powered by Klipfolio” branding with a link to Klipfolio.com, even for accounts with White Labeling. By default the public link option is not enabled when creating clients for White Label accounts to help avoid accidental exposure of the Klipfolio brand.

NOTE: If you choose to make your dashboard publicly available via search, it will be accessible to anyone on the Internet, even if you don't share the link with them. Your dashboard could appear in search results. We strongly advise you to confirm you have all the appropriate rights and permissions to publish this dashboard and the data it contains before making it publicly available.

How many links can I publish?

The number of published links available depends on the number of dashboards included in your pricing plan. If you have questions, contact success@klipfolio.com.

What happens if I exceed my limit of published links?

When you reach your limit of published links, you will not be able to create more until you either make space by deleting existing published links (until you are below the limit for your account) or contact Klipfolio to upgrade your plan or discuss other options.

Why are there some blank Klips in my shared dashboard?

When you make changes to a dashboard that’s shared via a published link, the dashboard is also updated for those with shared access to it. However, if you add new user or company properties to a Klip and then add that Klip to a dashboard that was previously shared via a published link, the new user or company property won’t be recognized and the associated Klips will be blank. In this case, you need to delete the old link to the dashboard and send a new link to people you want to share it with.

To delete, create, and share a published link to an updated dashboard:

  1. Delete the old link to the dashboard: Click Account > Usage > Published Links, and, beside the relevant dashboard, click Delete. (See below.)

If you don’t see the above option, click the button in the left navigation sidebar and select Account. Then, on the left, click Activity > Published Links.

  1. Create a new published link for the dashboard: In the left sidebar navigation, click the dashboard to open it, then click its 3-dot menu, and select Share > Publish link to dashboard. Follow these instructions to create a published link.
  2. Copy and share the new link: After clicking Publish Now, copy the new link to the dashboard and send it to the people you want to share with.

How do I publish links to a dashboard?

To publish links to your dashboards, your user role must have the permission to publish links. This permission is included in the Admin role by default. The permission can also be included in custom roles. For more details on permissions, go here.

To publish a link to a dashboard:

  1. On the dashboard you want to share via published link, click the three-dot menu icon.
  2. Click Share > Publish link to dashboard.
  3. In the Publish Link to Dashboard screen, enter a Dashboard Name.
  4. Select the Theme (Light or Dark) in which you want your dashboard to display.
  5. At Logo URL, select Add custom link to logo and enter a URL in the text field, if you want viewers to be taken to a specific web page (example - your company website) when they click on the published link dashboard’s logo.
  6. At Visibility, select one of the following:
  • Public and available via search, if you want the dashboard to be publicly accessible via search engines. You will be provided with a link that you can share with others for their direct access. Note that a link to a public URL can appear on the Klipfolio website. A default meta tag description displays in the text box but you can optionally choose to enter your own descriptive text.
  • Anyone with the link, if you want the dashboard to be accessible to anyone with the link only (no password required). Anyone with the public link can view your dashboard but it is not indexed or searchable. You can improve security by implementing IP Range restrictions, without requiring a password. Note that this option is selected by default.
  • Anyone with the link and password, if you want the dashboard to be accessible to anyone with the link and a password. If you choose this option, enter a password in the text field.
  • Optionally, select the checkbox at Social, if you want to include links for sharing the dashboard on social media.
  • Optionally, select the checkbox at Social, if you want Klipfolio's help in promoting this dashboard. (This option only displays if you selected the Public and available via search option above.)
  • Optionally, select the checkbox at IP Range, if you want to implement additional security by applying your company's IP range restrictions. (This option only displays if you selected the Anyone with the link or Anyone with the link and password option above and the IP Range Restrictions feature has been enabled for the account (Account > Settings > Security > IP Range Restrictions.))
  • Click Publish Now.
  • In the Link to Dashboard Published screen, click Test Link to ensure the link is working as expected.
  • Click Copy Link and share the link with others to give them view-only access to your dashboard. You can always find this link again by clicking Account > Usage > Published Links.
  • Click Finished.
  • How do I manage my published links?

    You can manage all of your published links from the Published Links to Dashboards page, where you will see a list of all of the published links in your account.

    To access the Published Links to Dashboards page:

    • Click your Account Name (located at the bottom of the left navigation sidebar) and select Account > Usage > Published Links.

    If you don’t see the above option, click the button in the left navigation sidebar and select Account. Then, on the left, click Activity  > Published Links.

    Note: To access this list and manage (view, disable, and delete) your links, you must have the "view account" permission, which is included in the default Admin role in Klipfolio. 

    All links in your account count toward your limit, even if they are disabled. If you have reached your link limit and need to free some up to publish more, you need to delete unused links. Disabling links doesn’t reduce your link count.

    To manage (view, disable, and delete) published links for a single dashboard:

    1. In the left navigation sidebar, click the dashboard for which you want to manage published links.
    2. Click its three-dot menu and then click Share > Manage published links to dashboard.
    3. Click View, Disable, or Delete, depending on the action you want to perform.
    4. To edit link properties, click the Name of the dashboard and modify the selections in the Edit Published Link to Dashboard screen.
